In this guide, I'll walk you through exactly how to invite people to your Wix site, assign them the right permissions, and manage their access—all using Wix's Roles & Permissions feature.
What is Wix Roles & Permissions?
Wix's Roles & Permissions system lets you control who can access your website's dashboard and what they can do. You can invite:
- Co-Owners (Admins) with full access to everything
- Website Designers who can edit the site design
- Marketing specialists who manage SEO and campaigns
- Custom roles with specific permissions tailored to your needs
This is perfect when you need help managing your site but don't want to share your main account login.
How Many Collaborators Can You Have?
- Standard Wix sites: 1 free collaborator seat
- Wix Studio sites: 5 free collaborator seats (even on free plans)
- Need more? You can upgrade your plan to add additional collaborators
Step-by-Step: How to Add an Admin to Your Wix Website
Step 1: Access Roles & Permissions
- Log into your Wix account
- Go to your site's dashboard
- Navigate to Settings → Roles & Permissions
Alternatively, you can go directly to Roles & Permissions from Wix.
Step 2: Invite Collaborators
- Click Invite Collaborators
- In the Emails field, enter the email address of the person you want to add
- You can add multiple people by separating emails with commas
- Select the checkbox next to the role(s) you want to assign
- Click Send Invites
That's it! Your collaborator will receive an email invitation.
Step 3: They Accept the Invitation
Your collaborator will receive an email with an Accept Invite button. When they click it:
- If they already have a Wix account, they'll log in
- If not, they'll be prompted to create a free Wix account
- Once accepted, they'll have immediate access to your site with the permissions you assigned
Note: Invitations are valid for 30 days. After that, you'll need to resend them.
Common Wix Roles Explained
Here are the most commonly used predefined roles:
Co-Owner (Full Admin Access)
- Best for: Business partners, agency owners
- Access: Full control over the site, dashboard, billing and settings, except deleting or transferring the site or connecting a domain
- Use case: Someone who needs to manage everything
Website Designer
- Best for: Web designers and developers
- Access: Edit the site and manage settings and apps, without access to your inbox, contacts or other sensitive info
- Use case: A freelancer building or redesigning your site
Marketing Manager
- Best for: SEO specialists and marketers
- Access: Manage all your marketing tools, contacts and automations, and view site analytics
- Use case: Someone optimizing your site for search engines
Content Writer
- Best for: Writers and content managers
- Access: Edit text, links and images in the editor, and add or edit items in existing CMS collections (for blog posts, Wix has separate Blog Writer and Blog Editor roles)
- Use case: Someone updating the wording and photos on your pages
You can also create custom roles with specific permissions tailored to your needs.
How to Check if Someone Accepted Your Invitation
- Go to Roles & Permissions in your dashboard
- Look for a PENDING label next to their name
- Check the Joined on column to see:
- When you sent the invite
- How many days are left before it expires (30 days total)
How to Resend an Invitation
If your collaborator didn't receive the email or the invitation expired:
- Go to Roles & Permissions
- Hover over the person's name
- Click the More Actions icon (three dots)
- Choose:
- Resend invite to send another email
- Get invite link to copy and send the link manually
Tip: Ask them to check their spam folder if they don't see the invitation email.
How to Remove or Change Someone's Access
Need to update permissions or remove someone?
- Go to Roles & Permissions
- Hover over their name
- Click the More Actions icon
- Choose:
- Edit roles to change their permissions
- Remove to revoke their access entirely
Changes take effect immediately.
Troubleshooting Common Issues
"I don't see Roles & Permissions in my dashboard"
- Make sure you're logged in as the site owner
- Check that you're in the correct site's dashboard (if you manage multiple sites)
"I can't invite more collaborators"
- You've likely reached your plan's collaborator limit
- Upgrade your plan or remove inactive collaborators to free up seats
"My collaborator says they can't access certain features"
- Review their assigned role and permissions
- You may need to assign a different role or create a custom role with the specific permissions they need
Should You Give Someone Full Admin Access?
Be careful with Co-Owner (Admin) roles. This gives someone:
- Full access to your site and dashboard
- Ability to change billing information
- Permission to add or remove other collaborators
- Access to sensitive business data
Only assign Co-Owner access to people you fully trust, like business partners or agencies managing your entire online presence.
For most cases, use more restricted roles like Website Designer, Marketing Manager, or Content Writer.
